I don’t wish to get too excited until the ink is dry on the documents but……At the City of Melville Council meeting on Tuesday 16th November 2021 it appears our new 21-year lease was approved by council. Yesterday the executive sent an email advising and I quote, “The city is arranging formal sign off on the new lease and we will contact you shortly in the next few days to present the new lease for signing and execution.” I am not exactly sure what timeframe “shortly in the next few days” means when dealing with CoM but hopefully it is before our upcoming General Meeting on the 30th of November.
Speaking of the General Meeting, several of us have been working diligently behind the scenes to get everything in order so that we can proceed with this extremely important meeting for the Club.
The sole purpose of the SGM is to put forward a motion seeking approval to fund the Supply and Installation of a new Automatic Irrigation System. The project design, scope and specifications, tender requests, submissions, and review process have all been completed. We are just working through a few the practicalities including the safety of members whilst works are being conducted.
The Club’s Constitution requires the Members to agree to a motion at a General Meeting to approve expenditure on any single item of significant capital work where the estimated cost is expected to exceed 10% of the accumulated funds as at the end of the immediate past financial year (>$82,588.10). Voting on the motion shall be by secret ballot and absentee voting shall be permitted. If the motion is passed by a simple majority (more than half) of the voting members who cast a vote at the meeting, it shall become an ordinary resolution and be implemented in accordance with the rules of the Club. The Motion with explanatory notes will be posted on Club noticeboards and on the website by Tuesday 23rd November 2021.
In the interim we have put together a one pager titled MGGC Irrigation Project Information Document (click here) which I hope you take the time to read. It provides some of the background which you may find helpful. For the members who attended the Forum you will be familiar with the content of this document. For the members who have been at the Club for quite some time you will be all too familiar with the need for the overdue upgrade. I joined the Club in 2009 and remember attending my first Annual General Meeting and it was raised back then.
